CONDUCTION (EXAM OPERATION) SECTION

The conduct section handles with a variety of tasks and obligations in order to carry out its functions. With the aid of the chief coordinators of the relevant programs, the conduct section manages the examination process. It creates notifications for form submission, creates exam schedules, preparing seating plans, nomination of internal & external examiners for practical & viva exams, and performs other related tasks.

ANNOUNCEMENT NOTIFICAITON FOR SUBMISSION OF EXAMINATION FORMS

The form submission notification for all programs shall be announced at least two weeks before the start of exams. The examinations department will communicate and issue blank examination forms to the student affairs department of SMC & focal persons of affiliated institutes/colleges of JSMU.

EXAM SCHEDULE / TIME TABLE

Academic departments provide a proposed examination schedule and the Examination Department shall prepare a schedule keeping the dates and timings in a way to avoid clashes between exams for various faculties in the same time frame.

VENUE OF EXAMINATIONS

The venue for examinations would be the main campus of JSMU or the affiliated Institutes/Colleges depending upon the number of students and arrangement feasibility.

ADMIT CARD

Admit cards shall be forwarded to the student affairs department for SMC students & affiliated institutes by focal person and the list of students appearing in the examinations shall be provided to the Hall Incharge/Invigilators at the time of examination.

SEATING PLAN / ARRANGMENT

Students seating plan is to be designed in such a manner that students of the same discipline do not sit adjacent to each other and upload on JSMU web portal

THEORY PAPER - CONDUCTION

The Deputy controller of examination will manage and monitor whole process of conduction in collaboration with chief coordinator of examinations. The Deputy controller Examination will notify Duty Roster of resource persons, Hall Incharge / Head of Invigilator, Invigilator and Supporting Staff etc.

NOMINATION OF HEAD INVIGILATORS / INVIGILATOR

Examination Cell will nominate head of invigilators / invigilator. The examination hall/lab with 20 students must have one invigilator and one head invigilator will be according to number of halls/labs. More head invigilators or invigilators should be appointed for bigger examination halls/labs having more than one hall/labs

OSPE/OSCE , PRACTICAL/VIVA VOCE – CONDUCTION & DUTY ROSTER FOR APPOINTMENT

The deputy controller will send the letter to respective principals of constituent and affiliated colleges for proposal of name of examiners, center superintendent, Head Invigilator, Invigilator & supporting staff in priority order at least one month before examination, The deputy controller will identify on database, list of hall Incharge/head invigilators, invigilators, supporting staff, simulators, patients etc. at least one week before date of OSPE/OSCE.Deputy controller will prepare OSPE/OSCE Circuit / Map and will manage a Exam Help-Desk on ground floor or at reception area of JSMU to facilitated & guide the examiners about their exam venue.

UNFAIR MEANS (UFM)

Student found in possession of Unfair means materials during examination shall be asked to surrender to the Centre Superintendent / Centre-in-Charge along with UFM materials as possessed by him/her including answer books.

Signature of the student concerned shall be obtained on all relevant materials. Chief Coordinator of Examination / Vigilance Member / Head of Invigilator will also sign on all those materials.

Examination result of student(s) involved in such cases shall be held in reserve till the ‘UFM Disciplinary Committee’ takes final decision in this regard. The Principal/Head of the institute of said college/institute and student concerned shall be informed accordingly.

ASSESSMENT SECTION

After the examination time is over, Head invigilators will seal the answer books, subject / Hall wise in the envelopes and deliver them to the Incharge of the assessment section of Examinations along with attendance sheet of the candidates. The person Incharge of the assessment section arranges for assessors to check answer books and sends letters to the department head for nomination. The paper assessment shall normally be carried out in the department of examinations within the premises of the Jinnah Sindh Medical University in assessment section.
